Position Summary
Field Administrator provides administrative and bilingual support to a wide variety of functions in the project. Field Administrator reports to CEPS Manager, assisting the project team. Various responsibilities aimed to assist Project Leadership team and staff employees.
Maintaining documentation on all administrative issues for project staff (personnel pay-timesheets, training, land and air transportation, accommodations, vacation schedules etc).
Responsible for project team members’ on- and offboarding.
Organize/Coordinate meetings, workshops, conferences and events in Atyrau/Tengiz.
Attendance and keeping the minutes of the meetings.
Develop and manage project files (including letters, minutes, memos, reports, organizational charts, office seating charts, etc), office supply, inventory, rosters, phone lists.
Accomplishment specific and one-time assignments as requested by project management (e.g. putting together PowerPoint presentations, typing reports, memos, etc).
Contribute to prompt review of employees’ requests and proposals.
Carry out office, furniture and IT equipment allocation control.
Provision travel and visa arrangements for TCO/Chevron employees.
Arrangements for visitors (contractors, RoK reps, Affiliate staff, etc) – being tactful and attentive toward them.
Coordination of the project trainings, act as LMS coordinator.
Provide scanning, printing, and plotting of document files upon request.
Receiving, sending, indexing and filing of correspondence and reports, if needed, in alignment with IM/DCC team.
