Airswift (Air Energy Caspian LLP) is currently looking for an Administrative Assistant (for KZ passport holders) for one of our large project in (Atyrau, 5\2).
The main purpose of the position: maintain administrative documentation and resolve all issues related to it. Assistant provides administrative support to the Department's management and employees. Complies with the confidential data protection principles. Complies with safety procedures by following the principles established by Company to ensure the safety of own workplace and those around him/her. Passes all necessary training in a timely manner to be aware of changes in Company's production safety policies. Keeps records of hours worked in the E1 system, checks the correctness of filling in and correctness of timesheets. Prepares documentation for registration of vacations, courses, overtime, sick leave, amendments to the employment contract, etc. at the request of supervisors and employees of the Department. Interacts with the HR Department to explain procedures to employees. Responsible for monthly updating of the report on personnel composition of the assigned group and informs the Supervisor of any changes. Creates work schedules and re-engagements for the Department's direct employees and ensures that they are updated in a timely manner. Performs registration of necessary documents when hiring new employees, as well as in cases of dismissal of employees. Creates complex diagrams, tables, and reports in the E1 and Ariba systems at the request of Supervisor. Responsible for organization of re-recruitment of employees of the Department. Provides assistance in organizing business trips. Registers employees for safety courses, periodically provides a report to Supervisor on the status of passing mandatory computer and Safety courses by employees of the Department. Organizes all necessary activities for organization of visitors' stay, including logistics, providing a computer and providing access to facilities, showing tact and care when communicating with visitors. Provides employees of Department with necessary equipment, such as office equipment, furniture. Monitors the use of this equipment and initiates its renewal or repair if necessary. Initiates it requests, requests for banquet services ( ordering water, rations), office and household goods, transport packages. Initiates the order of all necessary personal protective equipment (PPE) for Department employees, keeps a report on their issuance. Develops and improves the system of accounting and subsequent control of all incoming and outgoing correspondence. Periodically provides interpretation and translation when dealing with issues related to the staff of the Department. Interacts with other departments on various processes. Performs other tasks of managers related to the administrative support of the Department.
Job Requirements: Administrative skills such as organizing and maintaining documentation, typing (English and Russian / Kazakh), do telephone conversations, maintain business correspondence, organize meetings, have logistics skills (PAMS, VMS, iLogistics, Crewchange portal, organizing trips, ordering materials, etc.), keep meeting minutes, etc. Ability to work both independently and in a team. Ability to perform multiple tasks simultaneously and efficiently. Customer support and customer focus are Important: Higher education; work experience at least 2-3 years, strong communication skills, both written and oral; computer skills: MS Office (Excel, Word, Visio, PDF, Outlook), JDE E1, Ariba; language skills-Russian and English on average or above average, Kazakh-preferably; knowledge of TCO’s HR policies and procedures
